How to Choose an Accounting Program

Most accounting software companies will have a variety of programs and upgrades for you to choose from, but which one is right for you?

Account programs range from the very basic personal program, the small business program, the medium business program and the large company program. The type of program you buy will depend on the size of your business as well as the type of business that you have.

The questions you need to ask yourself before you go looking for an accounting program are:

Is the program for personal or business use?
Is your business a Sole Trader, Partnership or Company?
Do you have employees?
Do you trade in foreign currencies?
Do you need Point of Sale software, accounting software or both?
Do you want to be able to import your bank statements into the program?
Do you want to be able to do online payments and receipts directly from the program?
Will you have the program running on multiple computers (Multiple users)?
Do you need to be able to do Estimates or Quotes?
Do you need the program to record time tracking?
How much are you willing to spend on the program?

Write down the answers to these questions and anything else you may think of that you would like the program to do. Once you have this written down in detail it's time to discuss these features with an expert. Most programs will have authorized representatives or consultants that you can contact to go through the program capabilities with you. You may also want to consult with your accountant to see what they recommend. You are then in a position to make an informed decision on the right program for you.

You will also want to choose a program that has a good support program. Some programs will give you free support for the first year, which is ample time to get any problems sorted. Other programs will offer paid support, which can be either a set amount per year or an amount per hour for each support request.

You can't expect to be able to walk into a shop, pick an accounting program off the shelf and expect it to work effectively. To get value for money, you need to do your research and consult with someone who knows the program or your accountant. Many accountants have a preferred program and if you choose their recommendation, it will make it a lot easier to communicate with them.

Aside from the general accounting programs like Quickbooks, MYOB and Sage, you may also want to search for industry specific programs. These programs are designed for different types of businesses and quite often are much easier to use and have exactly what you need for your business. If you know someone with a similar business to yours, you can ask them which program they are using. They may even let you have a look at the program and how it works in their business. You can nearly guarantee that if they are having any problems with the program that they will be quite willing to let you know.
